Job Summary

The Career/Academic Advisor and Graduate Program Manager supports and manages ongoing operations and new initiatives in the areas of Academic Advising, Career Advising, Internships and Industry Partnerships, Alumni Relations, and Graduate Records and Admissions in the Department of Mathematics and Statistics. The Department of Mathematics and Statistics is a large academic department in the College of Natural Sciences (CNS) with over 70 faculty, 75 graduate teaching assistants, a rapidly growing population of graduate students in several different MS and Ph.D. programs, with 1000+ majors, and enrolling more than 15,000 students in 250+ lecture sections and 175+ discussion/lab sections each year.


Essential Functions

Example of duties:

  • Advise students on departmental and university academic regulations, requirements and guidelines. Organize and supervise advising and welcome programs for department majors. Advise at New Students Orientation (NSO). Maintain records of advising meetings in SPIRE notes and the Education Advisory Board (EAB)/Student Success Collaborative (SSC) software. Represent the department at admissions open houses and campus majors fairs.
  • Monitor students’ progress to degree completion including Commonwealth Honors College and Departmental Honors requirements. Determine completion of requirements and certify such to Registrar for graduation clearance. Determine students in academic jeopardy and recommend a course of action. Identify candidates for scholarships and awards and coordinate with faculty advisors and campus units responsible for scholarship/award nomination process. Provide guidance and advice to students having unusually difficult academic problems. Advise students in emergency situations and refer to other University agencies as appropriate.
  • Manage graduate program operations. Provide administrative advice and support reminders to current graduate students. Oversee departmental communications to current and prospective graduate students, including Teaching Assistant offer letters and renewal letters. Oversee all departmental graduate program and graduate admissions record-keeping. Ensure accuracy of admissions communications. Monitor, and either respond or refer, as appropriate, to grad-admissions email inquiries.
  • Support the development, growth and marketing of the department’s professional Master’s Degree programs by developing relationships with firms whose employees would benefit from the degrees. 
  • Establish a network of alumni from both graduate and undergraduate Mathematics and Statistics programs, including a database, social network, and communications plan.
  • Design, develop, and maintain the department’s web pages for the Graduate Program, Graduate Admissions, and Alumni. Manage departmental communications to current and prospective graduate students. 
  • Liaise with external offices, e.g. Registrar’s, CNS Advising, New Students Orientation, Undergraduate Student Success, and Dean of Students Office on implementing policies and procedures that support students’ academic success, and problem-solve with these offices on individual student cases as needed. Liaise with advising offices of departments and schools whose majors that have overlapping student interests (pre-requisites, transfer between majors) with Math & Statistics, e.g. departments in Engineering, Computer Science, and Isenberg School of Management.
  • In consultation with faculty and with faculty participation, initiate outreach to industry, government and educational institutions to develop opportunities for internships with employers that typically hire graduates from the department and to establish and maintain relationships with entities.  
  • Develop and implement a departmental career advising program for both undergraduates and graduate students.


Other Functions

  • Work collaboratively and effectively to promote teamwork, diversity, equality and inclusiveness. 
  • Work in partnership with colleagues within the CNS community and across the campus to support the Dean’s strategic priorities.
  • Perform other duties as assigned in support of the mission and goals of the College of Natural Sciences.


Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor’s degree in Mathematics/Statistics or a related field, plus three years of experience in academic advising, higher education, teaching, technical customer support or student services; OR Master’s degree in Mathematics/Statistics or a related field, plus one year of experience in academic advising, higher education, teaching, technical customer support or student services.
  • Ability to collaborate and interact with faculty, staff, students, and parents in a friendly and professional manner. 
  • Proficiency with Microsoft Office Suite and willingness to learn SPIRE, EAB/SSC, UMetrx, and other academic data base and data warehouse tools.
  • Demonstrated commitment to supporting students. 
  • Sensitivity to issues of ethnicity, disability and diversity. 
  • Excellent oral and written communication skills. 
  • Ability to adhere to strict confidentiality guidelines. 
  • Excellent organizational and time management skills. 
  • Ability to work extended hours during peak times.
  • Ability to work independently to organize multiple tasks and set priorities for action, take initiative, be creative, and operate with self-direction in a fast-paced office environment.
  • Excellent interpersonal skills and ability to interact effectively and work productively in establishing and maintaining harmonious working relationships with a diverse population of faculty, staff and students.
  • Ability to organize and prioritize goals; ability to collaborate well to formulate plans and objectives in accordance with overall college goals; ability to identify and implement process improvements.
  • Ability to manage multiple projects simultaneously and to set and meet deadlines while maintaining high standards of accuracy and quality.

Typical office environment activity. 


Work Schedule

Monday–Friday 8:30 am–5:00 pm; some evening and weekend hours will be required.
