Job Summary
Under the direction of the Assistant Director Budget & Finance in the F&CS Business Services division this position is responsible for funding, budget and financial reconciliations and closeouts of projects for the following departments of Facilities & Campus Services: Operational Services; Campus Planning, Design & Construction Management, Facilities Management, Transportation Services and Parking Services. This position processes large amounts of capital and campus funding and requires a high degree of accuracy, diligence, and analysis in monitoring of funding, budget and expenditures.
Essential Functions
- Maintain responsibility for all aspects of funding, budgets, reconciliation and closeouts for projects within PeopleSoft and e-Builder project management system.
- Monitor and analyze capital project account information. Provide quality control to ensure appropriate and accurate financial records are maintained for project activity, transactions, and deferred maintenance expenditures.
- Maintain performance and oversight of project account creation and financial transactions in coordination with the Budget and Controller’s Office.
- Collaborate with management in developing up-to-date project financial reports for Campus Development, Alterations, and Facilities Management on a wide variety of projects funded by general operating funds, University Revenue, UMBA Bonds, Federal Grants, Private Donations, and other funds, by ensuring accurate financial records. The University’s Capital Plan totals over $550 million.
- Collaborate with management on project, operational, and revenue fund account information for use in reporting and provides quality control to ensure appropriate and accurate financial records are maintained for all Campus Development, Alterations, and Facilities Management activity and transactions.
- Resolve accounting discrepancies in coordination with several University administrative and academic units including Facilities Management, Budget Office, Controller’s Office, Procurement and Academic Departments.
- Develop procedures and policy for division-wide project budget, financial and account tracking documentation, recording and filing system.
- Manage F&CS billing process, including Facilities Management, Alterations, Campus Development, and Central Stores.
- Analyze and ensure accurate data within the TMA Work Management system and Concur OneCard system for accurate billing.
- Promote and assure continuous improvement, establish and maintain productive relationships with a full range of personnel that reflects a strong commitment to customer service and respect for a diverse campus community.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)
- Bachelor’s degree in business administration, accounting or related field.
- Minimum of 3 (three) to 5 (five) years of experience with business administration.
- Demonstrated experience in computer applications including PeopleSoft, Word, Excel, Access.
- Demonstrated experience working with sophisticated relational database systems used for tracking and reporting financial information.
- Ability to solve complex problems, maintain complex records and organize information.
- Ability to prioritize and multi-task.
- Excellent oral, written and communication skills required to provide clear and concise information.
- Ability to work effectively in a large diverse organization within established regulations, policies and procedures.

- This position has the opportunity for a hybrid work schedule, which is defined by the University as an arrangement where an employee’s work is regularly performed at a location other than the campus workspace for a portion of the week. As this position falls within the Professional Staff Union, it is subject to the terms and conditions of the Professional Staff Union collective bargaining agreement.
