Job Summary

The University Event Manager is responsible for the strategic and logistical management of high level campus events. Ensures all events promote a positive image of the campus and reflect the brand, values, and culture. Regularly interacts with high-level constituents. Serves as a resource to the campus community and external vendors. Provides event planning expertise as needed.  This position must meet critical deadlines and oversee multiple programs and events simultaneously.  Such responsibility involves a high degree of independent decision-making and sound judgment.

 

Essential Functions

  • Develops and implements plans for all aspects of high level events for the campus. Manages multiple programs and events simultaneously, focusing on goals, timeline, impact, budget, engagement, and follow-up. Creates systems and procedures to enhance and streamline the event management process, including technology and publicity. Serves as the on-site production manager at assigned event or activity.
  • Collaborates with colleagues in University Relations and across the campus to ensure complete and proper execution of details for all events. Provides coordination and project management to ensure event success. Represents External Relations and University Events on committees, suggest solutions and propose action.
  • Serves as a resource and advises others (e.g. deans, department heads, faculty and staff across all executive areas) on proper execution and details of event planning to ensure adherence to established protocols and practices.  This includes advising on campus and special event protocols, reviewing written materials, and providing recommendations as needed to ensure that the campus’s mission, goals and objectives are met. Advises and assists the Director of University Events on a variety of topics, issues and projects. Organizes and trains volunteers, faculty, and as needed to support the execution of events.
  • Maintains and supports the positive image of the campus through the successful development and management of high profile events and interactions with high-level constituents, both on and off campus.  Seeks, identifies and arranges guest speaker schedules and notifies departments of key visitors as needed. Plans off-campus events, including location scouting, publicity (including advertising and promotional strategies for events) and event execution within stated timelines and budget constraints.
  • Prepares and disseminates briefings to various university officials on event logistics and their specific roles at events.  Drafts remarks for Chancellor and other senior administrators as needed and as appropriate for specific events and as approved by the Director of University Events.
  • Identifies vendors and negotiate contacts as needed.  Develops and monitors event budgets to ensure cost control. Works closely with unit bookkeeper to ensure contract preparation and proper invoicing. Determines logistical requirements and limitations of selected venues and coordinate arrangements as needed to ensure the success of the event.

 

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor's degree with three (3) years’ experience to include event planning or program management and one (1) year of volunteer management or related experience.
  • Proven ability to work cooperatively and effectively with senior management, staff and constituent groups across all levels of the organization and to maintain productive and professional relationships in complex, demanding environment.
  • Excellent organizational and administrative skills aptitude with ability to manage several projects simultaneously. Ability to work under pressure and set priorities.
  • Sound judgment and decision-making ability.
  • Ability to maintain confidentiality.
  • Strong communications and interpersonal skills.
  • Demonstrated computer skills, including word processing and database applications.

 

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Experience working within a higher education or non-profit environment.

 

Additional Details

  • Required to work some nights.
  • Required to work some weekends.

 

Work Schedule

Monday-Friday, 37.5 hours
