This position directs, manages, and supervises the collection, updating, and dissemination of the space inventory information for over 12 million gross square footage (gsf) of facilities that comprise the UMass Amherst campus. The position also requires training university staff in the accurate use of their part of the system and updating their unit’s data.
Prepares, evaluates, and characterizes information used for reports needed by directors for complex financial analysis, facility planning, and indirect cost recovery to the university. Performs complex analysis to support strategic planning and the development of the University’s Capital Plan. Prepares and delivers written, oral and graphic presentations for executive-level audiences, and maintains proficiency in computer software applications for planning analysis, graphic presentations, database management, and the other computer applications used by the Division. Establishes work procedures and protocols, formats and templates for all computer aided facilities management information carried in the IBM-Tririga software program, associating space use and occupancy data to floor plans. Such procedures are needed to allow access to the information and outputs of the information in useable, applicable formats and reports. Tririga data is basis of GIS, SharePoint, and used by multiple divisions
Responsible for all aspects of development and maintenance of the electronic floor plans of all buildings comprising the campus, ensuring accuracy, quality, and integrity of products through enforcement of procedures and protocols as well as through coordination with construction project managers in all divisions. Develops, reviews, and approves room numbering to comply with campus policy and standards; confirms and recommends policy changes when appropriate
Collects, reviews, and analyzes space inventory data through coordination with faculty and staff at all levels of the University and across all divisions which requires accuracy and judgment as the space assignments significantly contribute to the campus Indirect Cost Rate. Coordinates integration of space data and IBM-Tririga system with other systems on campus such as Physical Plant Ops & Maintenance system. The manager coordinates tracking of information with other divisions to meet various mandated reporting requirements. Space uses tracked include academic, residential, and administrative functions
Responsible for all aspects of the space inventory database including data collection, management, maintenance, and integrity. Plans, prepares and delivers training seminars to university staff on the use and maintenance of each unit’s space data
Prepares reports on space inventory data for department heads and administrators who make space allocation decisions and manages access by key personnel across campus to reports and data through SharePoint and Tririga. Composes executive quality written and graphic documents for review and use by Division leadership and University administration
Performs related duties as assigned or required to meet Department, Executive Area/Division, and University goals and objectives.
Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)
A Bachelor’s Degree in science, engineering, facilities planning, architecture, or computer science with 5 years of experience using software systems to manage space related data.
Two years of supervisory experience.
Demonstrated project management skills including developing detailed project plans, managing project team members, communicating project status to appropriate management levels, identifying and resolving project issues.
Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)
Experience with Microsoft Office (Word, Excel, Power Point, Access, MS Project), AutoCAD, relational databases, and software reporting tools (e.g., Crystal Reports). Proficiency with computer aided facilities management and work maintenance systems.
Experience managing space data for an institution of higher education
