Job Summary

Built in 1885, Old Chapel is the most iconic and significant historic building on the UMass Amherst campus. Following a multi-million dollar renovation, Old Chapel reopened in 2017 and is a vibrant venue for campus activities and events. As a member of the External Relations and University Events (ERUE) team, the Old Chapel Manager is responsible for the strategic and logistical management of events and activities in Old Chapel. Maintains and supports the positive image of the campus through the successful development and management of high-profile events and interactions with high-level constituents. Serves as a resource to the campus community and members of the public. This position must meet critical deadlines and oversee multiple programs and events simultaneously. Such responsibility involves a high degree of independent decision-making and sound judgment.

Essential Functions

  • Manages Old Chapel, providing oversight and direction for all building and event related matters. Manages multiple programs and events simultaneously, focusing on goals, timeline, impact, budget, engagement, and follow-up. Creates systems and procedures to enhance and streamline the event management process, including technology and publicity.
  • Develops, arranges and carries out plans for events and visits in the chapel by high-level constituents, including but not limited to high profile donors, alumni and friends, within stated timelines and budgets constraints. Serves as the on-site production manager at assigned event or activity. Ensures all events promote a positive image of the campus and reflect the brand, values, and culture.
  • Assists and supports the overall work of the ERUE office.  Works in close collaboration with the ERUE event managers with the planning and execution of a wide range of high-level events both on and off campus.  Participates at events as needed.
  • Collaborates with colleagues in University Relations and across the campus to ensure complete and proper execution of details for all events. Provides coordination and project management to ensure event success. Represents ERUE on committees, suggests solutions and propose action.
  • Serves as a resource and advises others (e.g. deans, department heads, faculty and staff across all executive areas, members of the public) on proper execution and details of event planning to ensure adherence to established protocols and practices. This includes advising on campus and special event protocols, reviewing written materials, and providing recommendations as needed to ensure that the campus’s mission, goals and objectives are met.  Advises and assists the Associate Director of University Events on a variety of topics, issues and projects related to Old Chapel and campus events.
  • Identifies vendors and negotiates contracts as needed.  Develops and monitors event budgets to ensure cost control. Works closely with unit bookkeeper to ensure contract preparation and proper invoicing. Determines logistical requirements and coordinates arrangements for AV, security, parking, catering, rentals, licenses, permits, and contracts, as needed to ensure the success of the event.
  • Works closely with Auxiliary Enterprises on revenue-driven contracts such as weddings, conferences, and other special events/initiatives within Old Chapel. Collaborate with unit bookkeeper to ensure proper invoice and contract preparation. Works with Auxiliary Enterprises on marketing plans and related promotional materials for Old Chapel and related event spaces.
  • Ensures the integrity of Old Chapel in areas relating to internal and external maintenance and upkeep. Maintains the day to day operations, including but not limited to manages detailed and accurate records of all expenses, initiatives and coordinates maintenance and repair projects from start to finish. Installs and updates content for the interactive digital wall display.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor's degree with three years’ experience to include event planning or program management.
  • Proven ability to work cooperatively and effectively with senior management, staff and constituent groups across all levels of the organization and to maintain productive and professional relationships in complex, demanding environment.
  • Excellent organizational and administrative skills aptitude with ability to manage several projects simultaneously. Ability to work under pressure and set priorities.
  • Works independently and part of a team.
  • Sound judgment and decision-making ability.
  • Ability to maintain confidentiality.
  • Strong communications and interpersonal skills.
  • Demonstrated computer skills, including word processing and database applications.
  • Experience working within a higher education or non-profit environment, preferred.
  • Required to work some nights and weekends.

Work Schedule

Monday-Friday with some required night and weekend work.
