General Summary of Position:
The Division of Graduate, Online & Professional Studies (GPS) is seeking a part-time business administration specialist to support the operational needs of our Corporate Education and Business Administrative departments. Position will work closely with Associate Dir. Of GPS Financial Administration and Director of Corporate-Academic Partnerships.
Minimum Qualifications (Required):
- HS diploma or GED/equivalent required,
- At least two (2) years’ experience working in a business or financial administrative role.
- Background in customer support, business, or financial administration.
- Demonstrated experience with spreadsheets, and familiarity with business management concepts.
Preference given to those with previous higher education (private or public), government or military experience.
Those with experience working in Payroll, Accounting, Marketing/Events, Procurement, Executive- Level Suite administrative, or other technical business fields are encouraged to apply.
Technical skills required: must be proficient with Microsoft Office Suite, Microsoft excel and have some professional experience utilizing business administrative software or CRM software in a previous job.
Soft skills required: problem solving, decision-making skills in a business environment, excellent written and verbal communication, diligence, strong attention to detail, and well-organized.
Professionalism and respect for confidential information are emphasized. This position will involve interacting with multiple department directors and other support staff in a collaborative environment.
Responsibilities include but are not limited to;
- Corporate Education & Academic Partnerships
- Assist staff with operations and planning of small-scale events on campus, in addition to, monitoring and troubleshooting seminars that are held on campus (classroom.
- Operational events tasks: i.e. customer support, booking on-campus rooms, arranging catering, printing materials for courses.
- Assist with general marketing research projects and periodic review of existing corporate education programs at UML, and comparatively with at other institutions.
- Cold calling, scheduling meetings, attend sales pitch meeting, and arranging communication with our Corporate-Academic Partners.
- Assist with general administrative and data entry tasks related to corporate students and their benefit documentation.
- Procurement Operations:
- Process and monitor purchase orders,
- Monitoring accounts payable transactions,
- Assist with the University contract setup and review process,
- Approve bank card transactions,
- Assist with the vendor management database (updates, add new vendors)
- Assist with customer service operations (between staff and vendors) between department staff and central office procurement administration.
- General Administrative:
- Field questions, trouble-shoot and provide customer service to students, staff and faculty as needed,
- Proof-read letters and other formal documents,
- Review contracts for accuracy and clarity,
- Assist with the review, disposal, and organization of historic financial / business records.
- Perform other business duties and special ad-hoc research projects as needed
Position Details:
- Employment period: 6-12 months, with bi-annual review (every six months), with renewals based on performance and availability of work.
- This is a non-benefitted, part-time position, max hours 18 per week.
- Hourly Pay Range: $20-25 per week starting, with experience.
- Schedule is flexible: No Evening Hours or Weekend Work during normal business days. During the summer seminar schedule: evening or weekend work may be required on a needs basis
Additional Instructions to Applicants:
New employees will be trained in UMass system Financial Information Systems (PeopleSoft), UMass Buyways and other UMass System business software.
New employees will be expected to complete and pass IT / Data security and confidential information training modules.
The employee will support UMASS Lowell faculty, students, and staff. Employees will be expected to manage confidential information. Employees are expected to abide by University, Massachusetts State and Federal Law, and will receive training and instruction on these policies.
Position: on-campus, part-time, non-benefited, non-unit position – 18 hours per week. The GPS office is open from 8:30am 5pm, Monday - Friday
