Job Summary

Reporting to the Deputy Chancellor for Institutional Effectiveness (IE), the Project Management Coordinator leads and executes priority projects, strategic initiatives, and communications for the Office of Institutional Effectiveness. The Coordinator partners with the Deputy Chancellor and OIE team to ensure the office's operational needs and projects are addressed in a manner that furthers OIE and university strategic goals.

 

Essential Functions

  • In collaboration with the Deputy Chancellor for IE, coordinates project management for the office, which involves deploying expertise in support of OIE strategic goals and activities.
  • Identifies project needs, requirements, and parameters. Creates detailed project plans/schedules and timelines, assists with securing resources necessary to complete tasks as needed, and helps drive progress toward the goal of creating high-quality, timely deliverables.
  • Triages, assigns, and fulfills information requests by serving as the point of contact for faculty, staff, administrators, and other stakeholders requesting support.
  • Researches, manages, and executes complex and high-impact projects and initiatives frequently involving sensitive and confidential information as assigned by the Deputy Chancellor.
  • Works collaboratively with the IE team and other key departments across campus as necessary.   
  • Coordinates the development of plans and materials for the IE team, including presentations in support of projects undertaken by the OIE office and ensures project timelines, roles, and responsibilities are managed according to OIE goals and priorities.
  • Develops templates, maintains inventory of campus-level initiatives, and maintains documentation to detail reporting standards, protocols, and processes.
  • Collaborates with IE team on cross-functional departmental projects to ensure projects are executed within project timeframe and scope and align with constantly evolving priorities.
  • Assists with a wide range of strategic communications, including, but not limited to, written communications and videos, to support IE departmental goals.
  • Contributes to developing effective internal departmental communications that support evolving and ongoing priorities, including, but not limited to, departmental overviews, departmental goals, and various department-wide communications.
  • Conducts research into various topics and gathers information as needed to support and enhance project engagement for the OIE team.
  • Communicates feedback and other updates regarding assigned projects to the IE team as needed. 
  • Uses project management software/tools to manage and track projects as appropriate

 

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor’s degree in business administration, communication, marketing, creative writing, or related field.
  • Three (3) or more years of experience in project management leveraging various communication methods to support key strategic initiatives.
  • Familiarity with project management principles and strong organizational skills and attention to detail.
  • Ability to utilize independent judgment and manage sensitive and/or confidential information with discretion.
  • Ability to independently set priorities, plan, organize, coordinate, and direct multiple concurrent projects and complex tasks, coupled with the ability to develop and move strategic agendas forward and drive a high volume of work to completion.
  • Experience using software/cloud-based tools to manage projects, track, obtain, and deliver data and information, write and edit reports/documents, and maintain website and its content.
  • Excellent ability to analyze, summarize, and clearly present data and information in ways usable by stakeholders.
  • Excellent oral and written communication skills, including the ability to credibly and diplomatically communicate with faculty, staff, administration, and external constituents.
  • Experience working in a team-oriented environment. 

 

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Master’s degree.
  • Experience in higher education.
  • Excellent writing, editing, and storytelling skills with the ability to communicate effectively to diverse audiences through various platforms, including, but not limited to, PowerPoint presentations and email.

 

Physical Demands/Working Conditions

  • Typical office environment.

 

Work Schedule

  • Monday – Friday, 8:30 am – 5:00 pm.
  • This position has the opportunity for a hybrid work schedule, which is defined by the University as an arrangement where an employee’s work is regularly performed at a location other than the campus workspace for a portion of the week. As this position is non-unit, it is subject to the terms and conditions of the University of Massachusetts Board of Trustees Non-Unit (Professional) Employee Personnel Policy.
