Job Summary

Provides administrative and clerical support for the Campus Center/Student Union Facilities Services Department.  Performs day-to-day and complex clerical duties, some of which require a degree of confidentiality. Works independently with a moderate degree of decision-making responsibility.  Acts as functional supervisor over several student employees performing less complex clerical tasks.

Essential Functions

  • Provides departmental administrative assistance, including customer service inquires and complaints, determining nature and severity of reported building issues and takes appropriate action, acts as liaison between the CC/SU Facilities Service department and other departments on campus.
  • Maintains the Service Call Maintenance Management Program within department.  Assists department staff in access and use of program. Troubleshoots operating difficulties conferring with Information Systems department staff as required.
  • Responsible for using the Service Call Maintenance Management Program for referring call-in work orders within Auxiliary Services and related departments dealing with building problems, information, etc. and either resolves the situation or forwards to the proper area.
  • Receive and record into computer system and forward requests, work orders for repair maintenance and housekeeping services according to established procedures.
  • Closes completed work orders and complies all relevant information to tabulate the cost of jobs and maintain accurate records.
  • Monitors and operates department communication system.  
  • Supervises and sets schedules for students working at the Campus Center Information Center
  • Maintain a working knowledge of the Campus Center and Student Union, its physical structure, and properties in relation to the total Campus Center Complex operation.
  • Train information desk clerks to have a working knowledge of the Campus Center complex rules, regulations, and general philosophy.
  • Assist with the lock/key control program, processing orders, picking up and distributing keys and maintaining appropriate files.
  • Process University Rotable Asset Program, as well as Auxiliary Services property loan activities.

  • Performs other duties as assigned.

 

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • High School / Business School Diploma or equivalent experience in the clerical field.
  • Must possess and maintain a high degree of interpersonal skills.
  • Knowledge of office practices and procedures.
  • Knowledge of standard office equipment and their application
  • Ability to plan, organize, and supervise the work of reporting staff performing a variety of clerical functions.
  • Ability to determine proper format and prepare operating and statistical tabulations and reports.
  • Ability to establish and maintain harmonious working relationships with peers and the public.
  • Ability to compose correspondence from verbal dictation.
  • Ability to provide on-the-job training to assigned employees.
  • Ability to use computer software for word processing, spreadsheets, and other tasks that may be assigned.

Typical office environment.

 

Work Schedule

Monday – Friday 2:00pm-10:00pm

 

Salary Information

USA/MTA Grade 11
